Staff Accountant
Our client is seeking a detail-oriented and proactive Staff Accountant to join their growing team. This position serves as a key resource for accounting support, operational reporting, inventory management, vendor coordination, and special projects. The successful candidate will be highly organized, analytical, and comfortable wearing multiple hats while ensuring accuracy across reporting and administrative functions.
Key Responsibilities
Reporting & KPI Management
- Pull, compile, and distribute daily, weekly, and monthly KPI reports from store systems and back-office platforms.
- Download and review reporting files to ensure data integrity and accuracy before distribution.
- Verify formulas, troubleshoot discrepancies, and maintain ownership of reporting accuracy.
- Generate store performance and employee performance reports for leadership and field teams.
- Review and analyze POS, sales, and operational reporting from multiple systems and websites.
- Participate in market review meetings and provide reporting insights to support business decisions.
Inventory & Purchasing Support
- Monitor inventory levels and consumable supplies across store locations.
- Maintain back-office inventory control processes and records.
- Compile purchase orders and inventory order forms as needed.
- Review inventory levels against sales trends and identify locations requiring adjustments.
- Assist with inventory reconciliation and “true-up” activities.
- Coordinate monthly ordering of collateral materials, including signage, towels, promotional items, and other operational supplies.
- Review collateral requests and coordinate fulfillment with vendors and suppliers.
Vendor & Accounts Payable Support
- Coordinate with service vendors, including HVAC providers, pest control companies, and other operational partners.
- Collect, review, and track invoices for accuracy and proper coding.
- Monitor vendor expenses and assist with account reconciliations.
- Support the review of vendor statements and outstanding balances.
- Assist with payment processing and account maintenance activities.
Accounting Support
- Track, analyze, and process company expenses.
- Assist with month-end close activities and account reconciliations.
- Provide general bookkeeping and accounting support.
- Maintain accurate financial records and documentation.
- Utilize QuickBooks Online and Bill.com for accounting and payment processes.
Ad Hoc Projects & Analysis
- Track labor budgets and staffing-related metrics.
- Analyze overtime trends and labor expenses.
- Support operational initiatives and special projects as assigned.
- Identify process improvement opportunities and assist with implementation.
Qualifications
Required
- 3+ years of bookkeeping, accounting, or related operational accounting experience.
- Strong Microsoft Excel skills, including formulas, data validation, and report analysis.
- Excellent attention to detail and commitment to accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Strong analytical and problem-solving skills.
- Self-starter who takes ownership of work and proactively identifies issues.
- Ability to work independently while collaborating effectively with leadership and field teams.
Preferred
- Experience with QuickBooks Online.
- Experience with Bill.com.
- Retail, multi-location, franchise, or service-industry experience.
- Exposure to inventory management, purchasing, or operational reporting.
