Staff Accountant
Position Overview
The Staff Accountant supports the Controller in managing all accounting functions for a small industrial and distribution company. This role is responsible for assisting with daily financial operations, including accounts payable and receivable, payroll support, collections, reconciliations, and general ledger maintenance. The position works closely with operations to ensure accurate job costing, timely billing, and compliance with company policies. The ideal candidate is detail-oriented, organized, and capable of handling multiple accounting tasks. This individual should proactively relieve the Controller of daily duties.
The Staff Accountant will be responsible for routine accounting activities while also assisting with documentation and continuous improvement of accounting processes as the business grows.
Key Responsibilities
Accounts Receivable & Collections
- Generate and distribute customer invoices
- Monitor accounts receivable aging and follow up on past-due balances
- Communicate professionally with customers regarding payment status
- Apply customer payments and research and resolve discrepancies
Accounts Payable
- Process vendor invoices accurately and in a timely manner
- Match invoices to purchase orders and receiving documentation as applicable
- Prepare and process weekly check runs and electronic payments
- Maintain vendor records and respond to vendor inquiries
Payroll
- Assist with weekly or bi-weekly payroll processing
- Ensure accurate time entry, pay rates, deductions, and employee records
- Support payroll reporting and respond to payroll-related questions
Sales Tax
- Assist with the preparation, review, and filing of sales and use tax returns
- Maintain sales tax schedules and supporting documentation
- Ensure timely and accurate payments and filings
- Assist with sales tax audits, notices, and information requests as needed
Month-End Close Support
- Assist with month-end close activities, including journal entries and account reconciliations
- Maintain schedules for prepaid expenses, accruals, and other balance sheet accounts
- Support the Controller/Accounting Manager with ad hoc reporting and analysis
Process Improvement & General Accounting Support
- Identify opportunities to improve efficiency, accuracy, and consistency in AR, AP, payroll, and month-end close processes
- Assist with documenting accounting procedures and workflows
- Support implementation of process improvements, system enhancements, and internal controls under management guidance
- Maintain organized financial records and supporting documentation
- Assist with audit, tax, and compliance requests as needed
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field
- Exposure to AR, AP, payroll, and general ledger activities preferred
- Proficiency in Microsoft Excel and accounting software
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines
- Professional communication skills and a collaborative, team-oriented attitude
