Payroll Operations
- Manage end-to-end weekly hourly payroll and support bi-weekly exempt payroll.
- Ensure accurate capture and approval of time, attendance, pay codes, and piece-rate calculations.
- Process retro pay, supplemental wages, deductions, and direct deposits.
- Audit timesheets, leave balances, and payroll records; maintain confidentiality and accuracy.
Compliance & Reporting
- Ensure compliance with federal, state, and local payroll laws (multi-state; California required).
- Apply wage-and-hour rules for piece-rate employees, including overtime, rest periods, and minimum wage.
- Support payroll tax filings, garnishments, statutory deductions, and year-end processes (W-2s, audits).
- Stay current on legislative and regulatory changes.
Audit, Reconciliation & Analytics
- Reconcile payroll accounts and resolve discrepancies with Accounting.
- Audit weekly payroll batches to prevent errors and reprocessing.
- Prepare payroll, labor cost, and compliance reports for leadership.
- Support internal and external audits.
Team Leadership
- Supervise, train, and coach payroll staff to ensure accuracy, compliance, and timely payroll cycles.
- Review team output and enforce payroll deadlines.
- Foster a collaborative, service-focused team culture.
Cross-Functional Collaboration
- Partner with People & Culture on employee lifecycle changes.
- Collaborate with Finance and Operations to validate piece-rate data and support labor analysis.
- Serve as escalation point for complex payroll issues and employee inquiries.
Systems & Process Improvement
- Optimize payroll systems and integrations with HRIS and timekeeping tools.
- Implement process improvements and maintain SOPs.
- Support payroll-related system projects and upgrades.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field (preferred).
- 5–7+ years of payroll experience; 1–2+ years in a lead or supervisory role.
- Certified Payroll Professional (CPP) preferred.
- Strong knowledge of payroll, tax regulations, and labor laws.
- Experience with weekly, piece-rate, retro pay, and multi-state payroll (California required).
- Proficiency with HRIS/payroll systems (e.g., ADP, UKG, Workday, JDE) and advanced Excel.
- Union payroll experience a plus.
