Summary
The Associate Controller supports the Managing Director of Accounting in maintaining the accuracy, integrity, and timeliness of the accounting operations and financial reporting. This role is responsible for general ledger management, fund and grant accounting, reconciliations, and preparation of financial reports in compliance with GAAP and nonprofit accounting standards. T
Duties and Responsibilities
Accounting Operations (Financial Edge)
- Perform and review general ledger entries, monthly closing activities, and reconciliations for cash, investments, pledges, and contributions, as assigned.
- Track restricted and unrestricted funds to ensure proper classification, compliance with donor intent, and release of restrictions.
- Process accounts payable, credit card activity and expense allocations and review contributions and pledges for proper documentation of Cash receipts and reconcile with the CRM database.
- Prepare audit workpapers, schedules and supporting documentation for the annual audit and IRS Form 990.
- Record accounting entries throughout the year (QuickBooks) for the related organization (SWMF Properties). Maintain workpapers and schedules tracking activity for use in its annual audit.
Financial Reporting
- Assist with preparation of monthly and quarterly financial statements and supporting schedules.
- Support reporting for endowment, investments, and grants in collaboration with the Managing Director of Accounting.
- Maintain schedules related to grants and gifts for Board and tax reporting.
- Prepare financial reporting packages as requested by Management or the Board including presentation formats in PowerPoint and Excel. Monitor best practices in financial reporting and propose adjustments to the reports to the Managing Director of Accounting.
- Support the Managing Director in compiling semiannual Fund reports and resulting semiannual grant distribution.
- Provide fund reports and process fund distribution reports for the Managing Director approval.
Internal Controls & Compliance
- Ensure adherence to internal controls, accounting policies, and nonprofit accounting standards (GAAP, FASB, and UPMIFA).
- Recommend process improvements to enhance efficiency and safeguard assets.
- Monitor compliance with donor restrictions, grant agreements, and regulatory requirements.
- Maintain fixed asset list (Asset Tiger) and reconcile to accounting system.
Collaboration & Support
- Monitor and provide support to implement patches, changes, upgrades, etc. for systems used by the Accounting Team (Financial Edge, Concur, Asset Tiger, etc)
- Work closely with development, grants management, and operations staff to ensure accurate recording of gifts, pledges, and grant disbursements.
- Provide timely and accurate data for board reports, forecasts, and financial presentations.
- Actively engage with colleagues to build trust, keep commitments and meet deadlines. Proactively examine ways to simply processes, gain efficiency and increase productivity without sacrificing integrity or quality.
Education/Experience
- Bachelor’s degree in Accounting.
- CPA or documented progress toward CPA strongly preferred.
- Minimum 5 years of progressive accounting experience; nonprofit or fund accounting experience desirable.
- Strong knowledge of GAAP and nonprofit accounting standards.
- Proficiency in Microsoft Excel and accounting/ERP systems (Financial Edge or Intacct preferred).
