Position Summary
The Accounts Receivable Coordinator is responsible for managing customer accounts, monitoring outstanding balances, and supporting the collection process. This role will work closely with customers and internal teams to resolve payment issues, reconcile accounts, and maintain accurate records while contributing to continuous process improvements.
Key Responsibilities
- Monitor accounts receivable aging reports and identify overdue balances.
- Follow up with customers regarding past-due payments via email, phone, and customer portals.
- Prepare and apply credit and debit memos.
- Reconcile customer accounts and investigate discrepancies.
- Manage freight claims and coordinate the resolution of fines, deductions, and billing disputes.
- Review account activity to identify and resolve payment and invoicing issues.
- Support accounts receivable process improvements by identifying opportunities to increase efficiency and performance.
- Maintain accurate customer records and documentation.
Qualifications
- 3+ years of accounts receivable and invoicing experience in a wholesale, distribution, manufacturing, or other B2B environment.
- Strong attention to detail and excellent follow-up skills.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Ability to work independently and effectively prioritize multiple responsibilities.
- Strong written and verbal communication skills.
- Experience utilizing customer portals to open cases, file claims, and dispute chargebacks.
- Experience with EDI transactions preferred.
- Experience with Great Plains is a plus.
- Ability to manage multiple tasks in a fast-paced environment.
