Job Summary:
The Director of Tax and Accounting balances in-house tax planning with oversight of the family office’s accounting functions. This position will drive proactive tax strategy across individual federal, state, local, trust, and oil & gas working interest matters, and provide oversight of financial reporting, cash management, and reconciliation work performed by the outsourced accounting provider. The Director will work closely with the President, FP&A Manager, and external advisors to minimize tax liabilities, ensure regulatory compliance across all family office entities, and support the Family’s long-term financial strategy and legacy.
Key Duties and Responsibilities: Tax Planning & Advisory
· Lead in-house tax planning and strategy for individual federal, state, and local tax matters, trusts, and oil & gas working interests, identifying opportunities to minimize tax liability ahead of filing deadlines.
· Serve as the primary liaison with the external tax advisors including gathering, organizing, and securely transmitting the data and analyses.
· Collaborate with operating company’s executive team to model and evaluate tax scenarios for oil & gas working interests and other complex holdings to inform planning decisions.
· Oversee trust tax planning, including the aggregation and reporting of principal and income in accordance with fiduciary responsibilities.
· Serve as the primary point of contact for the trusts’ annual audit, where required, working closely with the external audit firm to provide requested documentation and support the audit through to timely completion.
· Determine and track estimated tax payments, filing deadlines, and extensions across all entities and individuals, keeping the external advisor and President informed ahead of key dates.
· Monitor federal, state, and local tax law changes relevant to the Family’s holdings and structures, advising the President on implications and recommended planning actions.
· Manage the Family’s side of responses to tax notices and inquiries, coordinating with the external tax advisor and outside counsel as needed.
· Support entity structuring and restructuring decisions from a tax-efficiency standpoint, in coordination with the external tax advisor and outside legal counsel. Accounting & Treasury · Oversee the outsourced accounting team’s work on general ledger accounting and reconciliations, reviewing output for accuracy, compliance, and accessibility of financial records.
· Conduct regular balance sheet account analyses and reconciliations, including fixed asset purchases and depreciation schedules to ensure accurate financial reporting and asset management.
· Collaborate with FP&A Manager to compile and review consolidated financial reports, forecasts, and budgets to provide strategic insights to the Family and governing boards.
· Monitor cash management operations and cash flow reporting to support FP&A Manager with proactive, long-term financial planning and decision-making.
Oversee money movement across family office entities and trusts’ investments, including facilitating investment capital calls, transfers, check payments, ACH/wire payments, and deposits, coordinating with the Investment Manager to ensure timely and accurate funding. · Oversee accounts payable process managed by outsourced accounting team, including vendor management, invoice approval, and 1099 issuance in compliance with IRS regulations.
· Collaborate with Executive Assistant and Household staff on household matters such as bill payments and significant purchases for Family members.
· Manage loan portfolios, ensuring compliance with all lending agreements and regulatory requirements, implementing risk mitigation strategies to safeguard the Family’s financial interests.
Requirements and Qualifications:
· Bachelor’s degree in Accounting, Finance, or a related field; CPA required.
· Minimum of 7-10 years of progressive tax planning experience, with exposure to high-net-worth individual and trust taxation; family office or similar environment strongly preferred.
· Strong knowledge of cash management, financial reporting, and accounting principles.
· Working knowledge of oil & gas tax matters (e.g., working interests, intangible drilling costs, depletion) strongly preferred.
· Strong technical knowledge of federal, multi-state, and local individual and trust tax planning, with the judgment to translate planning decisions into clear direction for an external tax advisor.
· Proficiency in tax and accounting software, Microsoft Office Suite, particularly Excel.
· Excellent analytical, organizational, and communication skills, with ability to manage relationships with external advisors.
· Ability to manage multiple priorities and work collaboratively in a team-oriented environment.
· High level of integrity and confidentiality in handling sensitive financial and tax information.
