Primary Responsibilities
- Manage a portfolio of 1000-1200 accounts with a value of $10M-15M monthly.
- Collections for past due over 30-60-90 days via phone, fax, emails, making a minimum 25 contact per day.
- Prepare monthly notice letters/lien folders on job accounts assigned within the portfolio. Research CAD and complete any missing information.
- Prepare and release lien waivers, conditional and unconditional waivers
- Reconcile all accounts with issues concerning unapplied cash, missing check applications, duplicate payments, short payments, over payments. Refund checks support proved to credit admin for further disbursements
- Contact sales (engagement) prior to or by 60 days after invoices are billed to the account. This is for the help with resolution of outstanding debt if there are questions concerning customer default.
- Review and identify possible increases in credit limits and recommendation for increase to corporate credit manager
- ACH and EFT transactions, credit card transactions, provide Proof of Deliveries as needed, NSF support and address issue concerning those transactions.
- Prepare possible payment plans, promissory notes and review with Corporate Credit Manager to ensure best options is being provided to customer to clear the debt owed.
- Identify any account which is unresponsive to collection efforts and provide AA (Adverse Action form) to Corporate Credit Manager for approval to send 10-day demand and farther placement with collection agency /attorney.
- Review all credit applications and COD application as needed to assign a credit limit availability according to approved credit authority within portfolio assigned.
- Understand and demonstrate ability to read NACM and trade reports as needed.
- Demonstrate ability to understand job accounts and information presented on the job sheet to ensure we have ability to collect via notice and lien filing.
- Demonstrate knowledge of credit and collection abilities by decreasing % past due on assigned portfolio.
- Have clear understanding Texas, Oklahoma, AZ lien law and other states as needed.
- Train new credit managers
- Billtrust Training/IT Expert in department
- Full Understanding of P21 functions (order entry, RMA’s, invoicing, Etc)
- Mail Merge Training
- Credit Card Training/ACH training
- Prepare department procedure instructions as needed
- Update departmental procedure instructions as needed
Requirements
- 7-10 years’ experience in construction, commercial or industrial credit/collections
- Texas /OK/AZ lien law
- Experience is deductions, charge backs and account reconciliation
- Ability to work independently and achieve result needed to be successful
- CBA, CBF NACM designations preferred.
- College preferred but not required
