Our client in the wholesale and distribution industry is seeking a Senior Payroll Specialist to join their team. This is a full-time, hybrid position based in Grand Prairie. The Senior Payroll Specialist will report to the Manager of HRIS & Payroll, and is responsible for processing company payrolls, providing HR reporting, and processing, updating and maintaining payroll and HR records.
Job Duties & Responsibilities:
- Assures that the company’s multi-state payrolls are are prepared, processed and delivered in an accurate and timely manner within company policy, procedures, and guidelines and within local, state, and federal regulations.
- Updates and maintains electronic timekeeper files. Audits, balances, and transmits employee files to Payroll System(s).
- Ensures local, state, and federal payroll taxes are paid on time by reviewing reports quarterly and annually and filing as required.
- Maintains accurate payroll and HR database and records. Receives and enters changes with proper approvals, questioning those that appear to be inaccurate and inconsistent with payroll timelines or company processes. Resolves issues by researching problems and working with key stakeholders to ensure the integrity of the database.
- Contributes to consistencies and efficiencies by creating, maintaining, and communicating standard procedures. Provides guidance and training as needed to ensure stakeholders are knowledgeable in payroll-related processes.
- Runs and reviews payroll and HR Reports, including the Payroll Summary, Statistic Re-cap, Payroll Changes, Wage Garnishment Verification, Registers, Master Controls, and Manual Checks, Employee Activity Report, Payroll Changes Report, and Gainshare reports. Ensures reports are maintained and stakeholder access is provided appropriately.
- Works with the Finance Department to provide regular and scheduled reporting, including those related to 401(k), PTO accruals, 401(k) Nondiscrimination Testing, EEOC Wage Surveys, Benefit Census, and Total Compensation.
- Enters new hire, employee changes, and terminations into the system.
- Ensures the accuracy of all payroll deductions, creating backup and detailed documentation where needed.
- Receives and executes garnishment orders, maintaining required backup and documentation.
- Committed to continuous improvement efforts in the HR Department by identifying and acting on opportunities to fine-tune processes, reports, forms, training, etc. Ensures procedures are documented and assists in cross-training others.
Education, Experience, and Certifications:
- Bachelor’s degree (BA/BS) from a four-year college or university
- At least 10 years of related experience
- Experience in processing multi-state payroll is preferred
- In-depth knowledge of ADP Workforce now is required
- Experience with other payroll systems (ADP Run, Paycor, Paylocity) is preferred
- Certified Payroll Professional (CPP) is highly preferred
Knowledge, Skills, and Abilities:
- Knowledge of full-cycle multi-state payroll processes and how payroll interfaces with the General Ledger
- Ability to interpret and apply Federal, State, and Local laws concerning payroll, including taxing, retirement plans, benefits, hiring, and terminating employees
- Thorough understanding of overtime laws and how to calculate regular rate of pay
