We are assisting our client seeking an organized and proactive Investor Relations Assistant to support their team and ensure smooth operations across various functions. This is an exciting opportunity for a highly skilled individual who thrives in a fast-paced, multifaceted environment.
Job Summary:
The Investor Communications/Executive Assistant will provide high-level administrative support to the Management Team, with a strong emphasis on investor relations and communication. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communications, ensuring operational efficiency, committing to fostering an inclusive and supportive work environment and assisting with various tasks to ensure the Management Team can focus on strategic priorities. The role requires excellent organizational skills, the ability to multitask, the ability to oversee day-today office operations and exceptional communication abilities.
Key Responsibilities:
- Manage calendars, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare materials for meetings, ensuring the attendees are fully briefed on all matters.
- Assist in drafting and preparing quarterly reports and electronic communications to investors.
- Handle confidential information with integrity and discretion.
- Prepare and manage expense reports.
- Assist in the review and dissemination of capital calls and distribution notices to investors.
- Assist in the organization and preparation of the Annual Investor Meeting.
- Manage and coordinate special projects as directed by the Management Team.
- Assist in organizing company events, conferences, and corporate travel.
- Handle administrative functions such as procuring office supplies, equipment management, and general office organization.
- Perform general office management tasks and other duties as assigned.
- Maintain office systems, including file organization (physical and digital), inventory management, and office equipment maintenance.
- Oversee the cleanliness and organization of the office environment.
- Act as the point of contact for employees, investors, and visitors.
- Ensure all team members are informed of office updates, changes, and events.
- Manage investor communications by assisting CFO with uploading and maintaining correct communications provided to investors via a document management website.
Qualifications:
- Bachelor's degree preferred or equivalent experience.
- Minimum of 10 years of experience as an Investor Relations Assistant or in a similar role.
- Exceptional organizational and time-management skills with the ability to multitask and prioritize.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to quickly learn and manage investor communications website.
- High level of professionalism, discretion, and attention to detail.
- Ability to work independently and anticipate the needs of the Management Team.
- Strong interpersonal skills and the ability to work well with individuals at all levels of the organization.
- Flexibility and adaptability in a fast-paced environment.
- Ability to effectively communicate and maintain relationships with all current and potential investors.
