Position Summary:
You will support the employees by ensuring that expense reports are paid promptly and in accordance with applicable policies and procedures. To be successful you will need to be analytically minded, self-motivated, and a quick learner. You’ll need to be able to work with a wide range of personalities across all levels of the organization and maintain confidentiality. Key Responsibilities:
- Processing a high volume of employee expense reports to ensure prompt reimbursement.
- Reviewing expense reports to ensure compliance with applicable company policies and procedures.
- Verifying receipts and documentation for expenses.
- Ensuring expenses are coded properly.
- Researching and resolving discrepancies and issues.
- Corresponding with employees and responding to inquiries promptly.
- Training and guiding employees on the use of expense report software.
- Providing supporting documentation for audits.
- Assisting in monthly close activities and performing reconciliation duties as well as other financial responsibilities as assigned.
- Leading the Expense Report Specialists (training and mentoring)
- Cross-training in duties of Expense Report Manager
- Creating and maintaining procedure manuals, policies, and cross-training materials
Qualifications:
- Two-plus years of experience in expense management, basic accounting, or bookkeeping
- Associate’s degree in accounting or finance preferred
- Knowledgeable in expense management software Ramp or Concur preferred
- Knowledgeable in corporate credit card programs (Ramp) preferred
- Demonstrated proficiency in Microsoft Word, Excel, and Outlook
- Experience on OneDrive, SharePoint, Teams, and MS Office applications
- Excellent verbal and written communication skills
- Strong attention to detail and exceptional organization and follow-up skills
- Capable of managing multiple responsibilities with little supervision
- Excellent time management skills and ability to manage competing priorities in a fast-paced environment while meeting deadlines
Technical & Computer Skills:
- Advanced Microsoft Excel (pivot tables, INDEX-MATCH, Power Query, data visualization)
- Proficiency with NetSuite ERP or similar major ERP systems
- Experience with financial reporting and data visualization tools (e.g., Power BI, Tableau) a plus
- Proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook)
