Our client, located in Dallas, is looking for a Bookkeeper / Personal Assistant to join their team on a contract, likely contract-to-hire, basis.
This role is 100% in-office.
Keys:
- Bookkeeping = AP (reviewing coding), AR, and reconciliations
- Admin = filing
- EA / Personal Assistant duties = scheduling, calendaring, correspondence, event planning, travel arrangements, and errands
- Must be patient, confidential, and trustworthy
- Previous experience with a high-net worth family office is a huge bonus
Summary:
The Bookkeeper, Personal Executive Assistant provides daily bookkeeping, administrative, and organizational support to the leaders of the family office by performing bookkeeping and office duties, vendor and project management, event planning and activities necessary to support the family.
The ideal candidate is a skilled multi-tasker and highly organized with a professional and trustworthy demeanor. The Bookkeeper, Personal Executive Assistant strives to create a positive work experience with the family.
Experience in bookkeeping and managing accounts payable tasks is required. Real estate property management experience is a plus.
Bookkeeping Duties:
- Manages and maintains accurate record of financial transactions for multiple business entities
- Processes accounts payable and accounts receivable tasks with detailed accuracy
- Proficient in bookkeeping software technology such as QuickBooks
Administrative Duties:
- Applies advanced scheduling and calendar management skills
- Professionally manages correspondence, both in-person and when answering phone calls and emails
- Proficient in office technology related to scheduling, bookkeeping and communication
- Demonstrates proven multi-tasking skills with the ability to manage a wide variety of projects and keep progress moving
- Possesses strong organizational skills
- Adaptable to new instructions and daily time management
- Experienced in all aspects of event planning
- Ability to manage and interface with household vendors
- Skilled in identifying and resolving problems without prompting
- Knowledgeable in making travel arrangements, including flights, accommodations, and ground support
- Efficient in performing errands and other duties as requested
- Able to manage projects with minimum oversight and direction
Vendor Relations Duties:
- Manage vendor relationships and contractual agreements
- Interface with vendors to convey directions on household projects, budgets, schedules, and requirements
- Oversee vendor performance for optimal outcomes on household projects
