Our client, located in Roanoke, is looking for a Travel Coordinator to join their team on a contract basis for one month, with the possibility of extending.
During training, this role will be 4 days onsite.
After training, this role will reduce down to 2 days onsite.
A drug screen is required as part of the onboarding process.
Key Qualifications:
- High volume travel coordination experience is required, including flights and ground transportation
Summary:
The Travel Coordinator is responsible for booking all travel arrangements for the company's Consultants (Temporary Employees) and Independent Contractors – to and from client locations. Includes arranging air and/ or ground travel and paying luggage fees as applicable.(Hotel or rental car arrangements are not required). Researches flights and ground transportation through various travel sites on the internet. Coordinates with client and consultant to obtain agreement for travel arrangements and associated costs. Monitors arrangements with consultant. In the event the consultant will drive private vehicle to the client location, confirms that consultant understands the policy/agreement for travel by car.
Essential Duties:
- Identify travel need through CRM (Bullhorn) prompt indicating consultant has been hired for an interim position and travel is required
- Confirm consultant has signed their employment agreement prior to finalizing flight
- Research available travel options for dates, times, price
- Presents travel options to client for selection and approval
- Contact consultant regarding travel information
- Book travel and sends information to consultant
- Log flight, and ground charges into the credit card log
- May text or call consultants within 24 hours of travel to remind them of travel arrangements and times – this process is automated unless there is an issue requiring discussion
- Refers consultant to the airline’s customer service department in the case of flight cancellation or delays (coordinator has no control over the airlines to assist).
Essential Qualifications:
- Must have solid travel booking knowledge/understanding
- 1-2 years’ prior administrative or similar experience, including booking a lot of travel
- Excellent verbal and written communication skills
- Self-starter
- Detail oriented and highly organized
- Exercises good judgement
- Exercises patience
- Good time management skills with the ability to prioritize tasks
- Good problem-solving skills
- Professional customer service skills
- Good command of Microsoft office, especially Excel, Word, Teams
- Proficient in data entry/administrative skills
- Ability to work in a fast-paced environment
- Must be able to work some nights and weekends to meet last minute travel or when travel issues arise
- Must be fluent in English
- Familiarity with a travel system software is a plus – this company uses Itilite
Preferred Qualifications:
- Associates degree in relevant field
- Relevant work experience in the hospitality, travel or similar industry
